My client, a leading full service law firm with offices in the heart of the city are going through a period of sustained growth and now require the services of an experienced Legal Administrator to join the support team.

Office based, this role will work with the PA team to provide administrative support to a wide range of practice areas within the firm.

Responsibilities

Through a shared inbox you will be expected to complete the full range of Office Administrator tasks associated with the day-to-day business needs:

  • Full understanding of the firm’s Proclaim and Case Management System
  • Full working knowledge and compliance of the Office Manual and all office policies and procedures
  • Full understanding of the firm’s Money Laundering Guidelines
  • Full understanding of the firm’s client case and quality standards
  • Work well as a collaborative team member communicating with other members of the business support teams to ensure work is picked up and completed in a timely manner
  • Assist with efficient management of archiving and data storage
  • Processing documents either in the shared inbox maintaining ownership and monitoring quality
  • Assist PAs with:
    • completing expenses
    • file opening processes and conflict searches
    • file closure process
    • archiving
    • searches using TM Convey
    • obtaining office copies from HMLR
    • running WIP reports
    • dictations
    • cover letters
    • writing off and transferring WIP in preparation for file closures
    • assist with updating the practice area’s general spreadsheets (basic data input)
    • Land Registry searches
    • dealing with client payment service
    • annotating credit card statements
  • Assist Central Team with:
    • Cover post
    • Cover for reception
    • Assist with catering and office events
    • General administration
    • Printing/bundling
Qualifications

EXPERIENCE, SKILLS AND KNOWLEDGE REQUIRED

  • ILEX/CILEX PA training is preferable, previous office experience is desirable
  • Experience of Word, Excel, Outlook and PowerPoint
  • Strong attention to detail, delivering work that is quality checked
  • Ownership for tasks and retaining responsibility throughout
  • A proactive attitude with a willingness to learn and expand knowledge and skills within the role
  • Ability to build and maintain constructive relationships with good interpersonal skills across the firm
  • Approachability at all levels
  • Take responsibility for own personal development and skills training
  • Ability to stay focussed and professional in often demanding situations
  • Flexibility to work independently and as part of the wider team to meet demands
